Create invoices

Create and finalize invoices

Build an invoice from your customers and products, with quantities, units, discounts and VAT worked out as you type, and keep it as a draft for as long as you like. Finalizing it gives it the next official invoice number, takes the goods out of stock, records the sale in the books and locks it against editing. Two people finalizing at the same moment never get the same number. An invoice can be written in any of ten languages, whatever language you use the app in.

Invoice in a foreign currency

An invoice can be made out in the customer's own currency, for example US dollars, with every amount, the PDF and the e-invoice in that currency. The European Central Bank reference rate is filled in automatically and can be corrected while the invoice is a draft. The books are kept in euros, and the difference when the customer pays at another rate is booked as an exchange gain or loss. The company's own currency is always euro for now.

Round the amount to pay

For customers paying in cash, the amount to pay can be rounded to the nearest 5 cents, 10 cents or whole euro. The rounding appears as its own line under the totals, so VAT and the net amount stay exact. The company chooses the default for new invoices, and each invoice can change it.

Licence number on every invoice

Businesses that must print an activity licence, an alcohol or food approval number or a register entry on their invoices can enter it once in the company details. It prints under the company's own details on every new invoice and credit note. Invoices already finalized keep the wording they were finalized with.

Duplicate an invoice

Copy any invoice into a new draft with the same customer and lines, ready to change and finalize. Works from the invoice's page and from each row of the invoice list.

Recurring invoices

Make any invoice recurring and a new one is produced on each date, every so many days, weeks, months or years, until an end date or a number of invoices. Each new invoice can be left as a draft, finalized, or finalized and emailed to the customer straight away, and is produced in the first hourly run on its date from 6:00 Estonian time. Schedules can be switched off and on, and a failed date can be retried. The lines are copied once when the schedule is set up and cannot be edited afterwards.

Store and correct invoices

Credit notes

Create a credit note from a finalized invoice, either leaving stock as it is or putting the items back in stock. The credit note starts as an editable draft with every line of the original, so you can remove lines or lower quantities for a partial credit. The app refuses to credit more than the invoice was worth. Finalizing it records it in the books, and its PDF and e-invoice refer back to the original invoice.

Download and export

Download the invoice as a PDF

Every invoice and credit note can be downloaded as a PDF in the invoice's own language, with the company logo, payment details and the late fee as it was set. A draft prints with a clear draft marking; a finalized invoice prints exactly as it was finalized.

Download the e-invoice (XML)

Any finalized invoice or credit note can be downloaded as an Estonian e-invoice file (EVS 923, eXML 1.2) that accounting software and e-invoice operators can import. It carries the invoice's currency, each line's product code and exactly one account to pay into, and it is checked against the official schema. If the company has no bank account with an IBAN, the file has no payment destination and the app warns about it.

Export a period's invoices

Export every invoice matching the current filters, or only the ticked ones, as an Excel spreadsheet, a zip of the PDFs and e-invoice files, or both, for example to hand a month to the accountant. The export is prepared in the background, emailed to you when ready, and can be downloaded from the Exports page for seven days. Up to 5,000 invoices at a time; drafts are left out unless you ask for them.

Send to the customer

Email an invoice to the customer

Send the invoice to the customer by email, with the PDF and the e-invoice file attached. The email comes from the company's name and a reply goes to the company, not to Erpilo. A draft can be emailed as a preview without finalizing it, and a finalized invoice can be sent again.

Get paid

Record a payment on an invoice

On a finalized invoice, mark it fully paid or record a part payment into one of the company's payment accounts, with the date the money arrived, the bank's reference and a note. The payment is booked in the accounts on that date, so a payment entered late still lands in the right month. The payment history on the invoice shows each payment, when it was paid and who recorded it.

Payments received

One list of every payment customers made, across all invoices, newest first, with the customer, invoice, amount, payment account and reference. Filter by payment date, payment account or customer, or search by reference, invoice number or customer, and see the total of what matches in each currency. Removed payments can be shown too, struck through, and are never counted.

Send a payment reminder

On an overdue invoice that still has money owing, Send reminder emails the customer a reminder with the invoice attached, in the invoice's language. Each reminder is listed in the invoice's history, and the list shows a "Reminded" tag beside the overdue ones that have had one. The wording is built in and cannot be changed by the company yet.

Automatic payment reminders

The company can switch on automatic reminders that go out a chosen number of days after the due date, 3 and 14 days unless changed. They are checked once a day, and an invoice gets at most one reminder per run, so one already reminded by hand is not reminded again for the same step. Reminders are off until the company switches them on.

Customers & receivables

Customer and supplier records

Customer and supplier list

One list of everybody the company sells to or buys from, companies and private persons alike, searchable by name. Each customer's row shows what they owe and how much of it is overdue, worked out the same way as the receivables report so the figures always agree.

Archive, restore and delete partners

A partner with no invoices or bills can be deleted; one that has them can only be archived, which hides it from pickers while keeping its history. Archived partners can be shown on the list and restored at any time. A deleted partner is removed for good after 90 days, but never while any invoice still names them.

Company look-ups and checks

Fill in a company from the Business Register

Start typing an Estonian company's name or registry code and pick it from the Estonian Business Register. Its official name, registry code and legal address are filled in for you. Each suggestion says whether the company is already one of your partners, and under which name; on an invoice or a new supplier from a purchase, picking one of those uses your saved partner. Works on the new and edit partner forms and when choosing the buyer on an invoice. If the register cannot be reached, you can still type the details by hand.

What customers owe

Receivables report

Everything customers owe, grouped by how overdue it is: not due yet, 1-30, 31-60, 61-90 and over 90 days. Search by customer, show only overdue amounts, and see when each customer last paid. Amounts in different currencies are kept apart rather than added together.

Customer statement

Print or email a customer a statement of account listing their open invoices, what has been paid against each, the ageing and the closing balance. It can be dated today or at any earlier date, such as a month end, and is written in the customer's language. Its closing balance always matches what the customer page shows as owed on that date. Payments count from the day the money arrived, as entered when the payment was recorded.

Product list

Product list with search and filters

One list of every product, with variants shown under their parent product. Search by name or SKU, including variant names and SKUs, and filter by category (sub-categories included), tags, custom attributes, status, type, stock level, sales channel, VAT rate, price, cost, dates and whether it has a picture. Columns can be shown or hidden, and the choice is remembered in your browser.

Select products and tag them or put them on channels in bulk

Tick rows on the product list, or select a whole page at once, and apply or remove a tag across all of them in one step. The same selection can put products on a sales channel or take them off it. The selection also feeds the CSV export, so you can export only the products you picked.

Product details

SKU suggestion and duplicate check

The product form can suggest an SKU for you and checks as you type that no other product in the company already uses it. Each variant has its own SKU.

Barcode, brand, dimensions, origin and tariff code

Record what a shop or marketplace needs around a product: barcode, manufacturer part number, brand, weight, length, width and height, country of origin, HS tariff code and a compare-at price. Variants inherit the measurements and prices from their parent product unless they have their own. A barcode is never inherited, because every size and colour needs its own.

Rich text descriptions

Write a product's descriptions as plain text or as formatted HTML, switched per product. HTML descriptions get a visual editor with headings, lists and links, plus a code view for anyone who wants to edit the HTML directly.

SEO title, meta description and URL slug per language

Each product language has its own name, short description, URL slug, SEO title and SEO description, so a shop in several languages gets the right one in each. A slug must be unique within the company for that language.

Cost prices visible to admins only

Only owners and admins see and change a product's cost price, on the form, the variants table, the CSV and the supplier price columns. Members can still edit everything else on a product without wiping the cost they cannot see. Once supplier bills have brought stock in, the cost follows those bills and is shown read-only.

Mark a product as drop-shipped by a supplier

Tick Ships to my customers on a supplier's row to say that supplier delivers the product straight to your customers. A drop-shipped product never holds stock, so stock tracking is switched off for it and it disappears from counts and stock screens. It cannot be ticked while the product still has stock.

Variants and options

Variants generated from options

Give a product options such as Size and Colour, pick the values, and generate one variant per combination, each with its own SKU, price, barcode and stock. A variant can be given its own name and a short description in each product language, or left to use the product's name, and can be switched off when you stop selling it. Before regenerating, a preview shows exactly which existing variants would be removed and asks you to confirm. Typing an option or value that already exists in the catalog reuses it rather than creating a duplicate.

Option catalog

One place to rename, translate, archive or delete the options and values used to build variants, such as Size or Colour and their values. A change here applies to every product that uses the option, and the page says so before you save.

Organise the catalogue

Category tree

Build a tree of categories and sub-categories with names in each product language, move a branch to another place, switch one off or delete it. A product can sit in several categories, and filtering the list by a category includes everything in its sub-categories.

Tags

Label products with free tags such as New arrival or On sale, typed straight onto the product form or added in bulk from the list. The Tags page lets you rename and translate a tag, retire it so it is no longer offered, or delete it.

Brands

Keep a list of brands and choose one on each product, or add a new one from the product form. Brands can be renamed, translated, archived and deleted on their own page.

Custom attributes

Define your own product facts, such as Material or Warranty, with a type: short or long text, formatted text, whole or decimal number, yes or no, a choice from a list, and more. Attributes can be arranged into groups, carry options in each language, and be archived or deleted once nothing uses them. Each product fills in the ones it needs on its Attributes tab, and the product list can filter by them.

Product groups

The older way of sorting products into simple groups, still available beside the category tree and usable as a filter on the product list. Everyone in the company can see the groups, but only admins can create, rename, archive or delete them.

Pictures

Product pictures

Upload up to 20 pictures per product, drag them into order and choose the main one. Pictures are converted to a compact web format automatically. Deleting a picture removes it for good, file and all, after a confirmation.

Picture alt text per language, and pictures per variant

Give each picture a description in every product language for search engines and screen readers. A picture can also be marked as showing particular variants, so a shop shows the red shirt's photo when red is picked.

Suppliers on products

Suppliers and supplier codes on a product

Record who you buy a product or variant from, under their own code, at what price, in what minimum quantity and with what lead time. The card shows what you last paid that supplier, read from their bills, and purchase orders use these details to fill in their lines. Prices and last paid are shown to admins only. Not built yet: a preferred supplier and supplier columns in the CSV export.

Import a supplier's price list

Upload a supplier's own price file and match its columns on screen, and their codes, prices, minimum quantities and lead times are written onto your products. Rows are found by the supplier's code or barcode as well as your SKU, and codes you do not have yet can be created as new products. The supplier's price never becomes your product's cost.

Import and export

Export products to CSV

Export all filtered products or only the selected ones to a CSV file that can be edited and imported back without losing anything. Choose the standard columns, or add per-language SEO and URL slug columns as well. Stock per warehouse, categories, tags, custom attributes and picture addresses are included, and the cost column is left out for anyone not allowed to see cost.

Import products from CSV

Upload a product file to create or update products in bulk; it is processed in the background and a report shows what will be created, updated or refused before you confirm. A file from Erpilo goes straight to the report, while a file from a spreadsheet, supplier or another system first asks you to match its columns on screen. Column matches can be saved and reused, and refused rows can be downloaded as an error file.

Inventory & stock cost

More about Inventory & stock cost

Warehouses and stock levels

Warehouses

Keep stock in as many locations as you need, with one set as the default for sales. A warehouse can be switched off once it is empty, and the history of what moved through it stays readable.

Stock on hand

See how many of each product and variant you hold in every warehouse, with a link from each row to its movement history. Goods on supplier bills or purchase orders that have not arrived yet are shown beside stock as incoming, never counted as stock you can sell.

Set a product's stock per warehouse

On a product's Stock tab, a grid of its variants by warehouse is pre-filled with today's quantities so you can correct what is wrong and save it in one go. A new product can be given its opening stock per warehouse when it is created. Turning stock tracking on or off on a product applies to all its variants together.

Stock count sheet with reasons

Pick a warehouse and type what you actually counted, product by product; the sheet starts blank on purpose so you count rather than confirm the system's number. Each change records a reason such as Counted, Damaged, Lost, Found or Returned, with an optional note. Products left blank are not touched.

Stock movement history

Every change to stock is listed newest first: date, product, warehouse, change, quantity after, what caused it, the reason and who did it. It can be filtered to one product family or warehouse and is read-only, so a mistake is fixed by a new count rather than by editing the past.

Stock and sales

Stock moves when an invoice is finalized or cancelled

Finalizing an invoice takes its goods out of stock, from the warehouse chosen on each line or the invoice's default. Cancelling it puts exactly those units back where they came from, and a credit note returns goods to the warehouse they shipped from. Services and products that do not track stock are left alone.

Allow or block selling more than you hold

One company setting decides whether an invoice can be finalized when stock runs short; it is allowed by default. When blocked, the Finalize button says which products are short and nothing is written, and when allowed the invoice names the products that went below zero. A stock count and shop orders can still go below zero whatever the setting, and an amber notice on the stock page lists the products below zero with a link to count each one.

What stock costs

Stock value in the books

Once switched on in Settings › Inventory, goods bought are held as stock on the balance sheet and each sale books what its goods cost, so expenses and profit follow sales rather than buying. Goods received against a purchase order wait as received, not invoiced until their bill arrives, and counts and stock typed in by hand go to stock differences, opening stock to prior periods' profit. A check on the Stock page compares the stock account with the stock value and shows any difference without repairing it. New companies start switched on; it cannot be dated back, and stock is never written down to what it can be sold for.

Restocking

Reorder suggestions

Lists the goods that would run out before a new order arrives, judged by what sold over the last 7 to 90 days, what is on the shelf, incoming and already ordered, and each supplier's lead time and minimum order. Grouped by supplier, with a suggested quantity that can be changed before ordering. Ticked lines become one draft purchase order to that supplier. There is no fixed reorder point per product, no seasonal forecast and no email alert.

Purchases

Purchase orders

Write purchase orders to suppliers

Write an order to a supplier for the products you want to buy, in the supplier's currency, with each line's price shown without VAT. Picking a product fills in the supplier's own product code and their price, or what you last paid them for it, and the expected date follows their longest lead time. Ordering below a supplier's minimum shows an amber warning rather than stopping you. Goods on a sent order show as "on order" on the products list and the product's Stock tab, without touching real stock. A partly received order whose rest is not coming can be closed, and a sent order nothing has arrived against can be cancelled.

Email or download a purchase order

Email the order to the supplier straight from Erpilo, download it as a PDF, or mark it as sent if you sent it yourself. The PDF is written in the supplier's own language and shows where to deliver the goods. Nothing goes to a supplier on its own, and once sent the order is locked and its goods count as on order. A sent order can be emailed again.

Receive goods against a purchase order

When a delivery arrives, open the order's Receive goods page, which is already filled with what is still to come, and change the numbers to what actually arrived. Each delivery puts its goods into stock in one warehouse at the order's price converted to euro on the day, so stock cost is right from the moment goods arrive. Part deliveries leave the rest on order, and more than was ordered is refused. A delivery entered by mistake can be undone, which takes its goods back out of stock, unless a supplier bill has already been matched to it.

Supplier bills

Enter supplier bills

Enter a supplier's bill as a draft with its lines, each with a product or description, expense category, quantity, unit, unit price and VAT, and attach the supplier's PDF or photo (up to ten files). Entering the same supplier invoice number twice gives a warning, never a refusal. The due date follows the supplier's payment terms until you change it. A draft can be saved and finished later, and deleted for good while it is still a draft.

Bills in another currency

A bill can be in the supplier's currency, and Erpilo fills in the European Central Bank rate for the bill's date or takes the rate you type. Booking uses that rate, and a payment later records the exchange gain or loss against the rate on the payment day. A foreign bill with no rate is refused at booking rather than booked at a guess.

Fill a bill from an e-invoice file

Upload a supplier's Estonian e-invoice or Peppol invoice file and Erpilo fills a draft bill with its supplier, lines, VAT, due date, reference number and attached files, for you to check. A supplier you do not have yet is proposed with an Add as new supplier button, never created on its own. Products are linked by barcode or the supplier's product code, and the expense category comes from that supplier's previous bill. A file for a bill you already have, same supplier, number and date, is refused and links to the existing bill. Credit notes and files with several invoices are not read.

Match a supplier bill to its purchase order

On the bill form, pick the supplier's purchase order and the lines still waiting for a bill are filled in at the order's prices. The goods came into stock when they were received, so a matched bill does not bring them in again, and a price difference adjusts the cost of the units still in stock. Billing more than was received is refused, and typing a product by hand that is waiting on an order shows a hint to pick the order instead. Orders show what is billed and still to bill, and the order list can be filtered to orders waiting for a bill. One bill covers one order.

Supplier credit notes

Start a credit note from the bill it corrects, and it opens as a draft that credits the whole bill until you change it to match the supplier's credit note. It keeps the bill's supplier, currency and rate, and cannot credit more than is left on the bill. Booking it reduces what you owe, and a bill credited in full with nothing paid shows as Credited. When the bill was already paid, the page says the supplier owes you money back, but recording that refund is not built.

Bill history

Each bill has a History card listing who created, edited, booked, paid, cancelled or credited it and when, and every file added. It also records when the bill was filled from an e-invoice, matched to an order or added to a bank payment file. Booked bills, their files and their history are kept for good, as the Accounting Act requires.

Paying suppliers

Record payments of bills

Record a full or part payment of a booked bill from one of your payment accounts, and the bill moves to Partly paid or Paid. A bill or till receipt you have already paid can be ticked Already paid on entry, and booking records the payment in the same step. A payment entered by mistake can be removed, the latest first, and is reversed on its own date. A payment larger than what is left, dated in the future, or on a foreign bill without that day's exchange rate is refused.

What you owe suppliers

The Payables report shows what you owe each supplier, aged by how overdue it is, per currency, and the company-currency figure matches the books to the cent. A supplier's page shows a Bills card with what you owe them, what is overdue and their latest bills and payments. The dashboard warns about bills due within a week or already overdue. Expense claims are not included, and there is no statement to send a supplier.

Bank payment file for supplier bills

Tick bills on the purchase list and create a SEPA payment file to upload to your internet bank, one transfer per bill for what is left to pay. Bills that cannot go in, such as ones not in euro or a supplier with no valid bank account number, are listed with the reason. A bill's reference number is checked when you save it and sent with the transfer, because a bank refuses a whole file with one wrong number. Creating the file pays nothing: you record the payment once the bank has paid, and a bill already in an earlier file shows a warning.

Employee expenses

Employee expense claims

Enter what a team member or another person paid out of their own pocket as a claim with one row per receipt, each with its date, shop, category, VAT choice and a photo or PDF. A receipt without a file is warned about, since a reimbursement without a document is a taxable fringe benefit, but it is not refused. Booking posts the claim as owed to the person, and paying it back records one payment of the whole total from a payment account. A booked unpaid claim can be cancelled, and a payment entered by mistake can be removed. Claims are in euro only and are not in the Payables report, the accountant's export or the bank payment file.

Export for the accountant

Export bills for the accountant

Export a period's booked bills as one zip with a spreadsheet of the bills and their lines and every attached file, named after its row. The export uses the list's filters, defaults to last month, and is built in the background, with an email when it is ready and a download kept for seven days. VAT claimed back is shown per bill, totals are kept apart per currency, and cancelled bills are listed but left out of the totals. Drafts are never exported.

Set up a channel

Connect a WooCommerce shop

Paste the REST API keys from your WooCommerce shop and Erpilo stores them encrypted and never shows them again. Check connection reads the shop's currency, whether its prices include tax, its tax classes, its order statuses and whether the free Erpilo shop plugin is installed, and says plainly what is wrong if anything is. It also warns when the shop could not send its sales to Erpilo at all. Disconnect removes the keys and keeps the channel. WooCommerce is the only shop Erpilo can connect to today.

Publish a channel in more than one language

Each channel has a main language and an Also publish in list, chosen from your product languages. On a WooCommerce shop the further languages are written through the free Erpilo shop plugin, and a shop without it is refused before anything is sent. Sync health shows, per language, how many products are live and what the shop could not take. Adding or removing a language sends every product on the channel again at the next send.

Match VAT rates to the shop's tax classes

Match each of your VAT rates to the shop's tax class for it, so the shop charges the right VAT. Erpilo works out the price the shop is told from whether the shop's prices include tax, and refuses to publish a product rather than send a wrong price. Products at a rate that is not matched are not published, and the page says how many products each rate covers. A shop with tax switched off can only take products at 0% VAT.

Public shop page for a channel

An owner or admin can switch on a public page on an Erpilo address that shows a channel's products, and anyone can browse it without signing in. Visitors can search, filter by category, switch between the channel's languages and use a Contact us button, but nothing can be bought on it. Prices follow the channel's VAT rules, and a price that cannot be worked out shows as "ask for a price". The page has no visitor tracking, and its pages are not listed in Erpilo's sitemap.

Products on channels

Choose which products are on which channel

Tick the channels a product is sold on in the product form's Sales channels tab, or add and remove many products at once from the Products list. A product always comes with all its variants, and taking it off a connected shop sets it to draft there at the next send rather than deleting it. The Products list can show a Channels column and filter by channel and by what is live, not sent yet or in error. Putting a product on a channel never sends it on its own.

Send products to a WooCommerce shop

Send creates or updates every product on the channel in the shop, with its variants, categories, tags, brands, pictures and stock. The first send to a shop is always a preview that shows every price the shop will be told, before anything is sent. A progress page follows the send, and a send that stops partway picks up where it left off. After that, Send changes sends only what changed since the last send. A product in the shop with the same SKU that Erpilo did not create is refused, never taken over.

Bookkeeping entries

Bookkeeping entries made automatically

Every finalized invoice, credit note, cancellation, customer payment, supplier bill and supplier payment writes its own double-entry journal entry, with nobody having to book it. Rounding, VAT and exchange gains or losses on foreign-currency payments get their own lines. If an entry cannot be made, for example because an account is missing, the invoice still goes through and the page says the entry is missing.

Post missing accounting entries

Invoices that were finalized while the company's chart of accounts was empty have no accounting entry. The Journal Entries page says how many there are, and one button posts them all, each dated to its own invoice. Entries that already exist are never touched.

Foreign-currency invoices in the books

Invoices and bills in another currency are booked in euros at the European Central Bank rate of their date. When the money arrives at a different rate, the difference is booked automatically as an exchange gain or loss. The company's own books are always in euros for now.

Accounts and VAT

Chart of accounts

Every new company starts with the standard chart of accounts for its country, with each account's balance shown. The company can add and edit accounts of its own, while the built-in accounts that bookkeeping relies on cannot be changed or deleted. An account with entries on it can never be deleted.

Restore the default chart of accounts

Adds back any standard account the company is missing, without touching accounts it already has or has renamed. Useful for a company created before the chart was filled in automatically, whose invoices could not be booked.

VAT rates

The country's VAT rates come built in with the dates they are valid, so a rate that has ended is no longer offered. A company can add rates of its own, hide the ones it never uses from invoices and from purchase invoices separately, and choose its default. A rate already used on a product or an invoice line can be hidden but not deleted.

Payment accounts

Payment accounts

The company's bank accounts, cash registers and other ways of being paid, set up from a list of Estonian banks or by hand. IBANs are checked, a bank account with a valid IBAN can be made the default, and that is what every invoice tells the customer to pay into. Accounts no longer used can be archived and restored, and one with payments on it cannot be deleted.

Reports

Trial balance

Every account with a balance, in a debit and a credit column with their totals, and a plain statement of whether the books balance. Choose any day to see the books as they stood then. If some invoices were never entered in the books, the page says so beside the figures.

Team & access

Members and roles

Owner, admin and member roles

Everyone in a company has one of three fixed roles, and each role can do everything the one below it can. Members work with products, stock, invoices, purchases and partners; admins also see product costs and margins and manage accounting, settings and the team; owners also manage other owners. The Team page shows a short summary of what each role gives access to. Custom roles are deliberately not offered.

Change a member's role or remove them

An admin changes a teammate's role from the dropdown on their row, and it saves at once, or removes them from the company after a confirmation. Nobody can change their own role or remove themselves, and only an owner can change or remove another owner. A company must always keep at least one owner, so the last owner can never be demoted or removed.

Invitations

Invite a teammate by email

An admin types a colleague's email address, picks a role and sends an invitation, which arrives as an email with an Accept invitation button. The invitation is valid for 7 days. Only an owner can invite someone as an owner, and Erpilo refuses to invite somebody who is already a member or already invited.

Companies

Run several companies from one login

One person can belong to any number of companies, with a different role in each, and can create a new company at any time. The company icon in the header switches between them, and Manage companies lists them all. Each company's data is kept completely separate from the others.

Settings & profile

Company settings

Company details and logo

An admin keeps the company's name, registry code, VAT number, address, contact details, website and currency up to date, and can add a line of extra information printed on every invoice. A logo can be uploaded or removed, and it appears on the company's invoices. Leaving the page with unsaved changes asks for confirmation first.

Invoice defaults and payment reminders

An admin sets whether new invoices round the amount to pay, shown as its own line under the totals, and the default daily late fee for new invoices, which otherwise comes from the Erpilo-wide default. The same page switches automatic payment reminders on or off and sets how many days after the due date they go out.

Product languages

An admin chooses which languages the company writes its product names and descriptions in, and which one is the default. Switching a language off hides its text everywhere without deleting it, and the text left behind can be reviewed and removed language by language.

Your account

Language for emails from Erpilo

Each user picks the language Erpilo writes to them in, for product updates, account email and support replies. It is separate from the language of the screens, so someone can use the app in English and still get their email in Estonian.

Switch the interface between English and Estonian

The EN and ET switch changes the language of the screens and keeps the person on the same page. It works for visitors as well as signed-in users, and it does not change the language of their emails or of their documents.

AI assistants

Connect and manage

Connect an AI assistant to a company

A user adds Erpilo in Claude or another assistant that supports the MCP standard, signs in to Erpilo, picks one of their companies and approves. The connection reaches only that company and only what the user's role allows, and removing the person from the company cuts it off on the next request. The assistant can look up products, stock, profit, money owed, invoices, purchase orders and what to reorder, and create draft invoices and draft purchase orders for a person to review. The Privacy Policy says that the assistant's provider, chosen by the user, receives the company data the assistant asks for.

See and disconnect connected assistants

Settings › Connected AI assistants lists each assistant connected to the company, who connected it, when, and when it was last used. An admin or owner sees and disconnects everyone's; a member sees and disconnects their own. Disconnecting cuts the assistant off on its very next request, and removing someone from the company disconnects their assistants too. The same page explains what an AI assistant is and what it can and can never do, with example questions, and walks through connecting one in four steps with a copy button for the address.

Look up data

Ask an assistant about products and stock

The assistant searches the catalogue the way the Products list does, by name or code, category, tag, status, sales channel, stock status and the list's other filters. It can open one product to see its variants, the stock in each warehouse, what is on order from suppliers and what is billed but not yet arrived, with a link to each page. Costs and supplier prices are shown only to owners and admins, and a member cannot filter or sort by cost either.

Ask an assistant about profit

The assistant gives the Profit by product page's figures for any dates the user names, or the current month so far as the page does: the summary against the period before, the best and worst products, profit per product, per sales channel and per supplier, and the trend by day, week or month for the company or one product. The figures are the page's own, with a link to the page for the same dates, and the assistant is told that shop, payment and shipping fees are not counted yet. Only owners and admins get an answer; a member is told their role does not show costs and margins.

Ask an assistant about money owed, invoices, orders and reorders

The assistant gives the Receivables and Payables pages' figures, or what one customer owes with the open invoices behind it, or what is owed to one supplier, always one section per currency and never added across currencies. It searches sales invoices and purchase orders the way their lists do, overdue invoices included, and gives the Reorder page's suggestions grouped by supplier. Every figure is the page's own with a link to it, and each answer is limited to what the user's role can open on screen.

Create drafts

Ask an assistant to start an invoice or a purchase order

The assistant can create a draft sales invoice for an existing customer, a draft purchase order, or a draft purchase order filled from the Reorder page's suggestions for one supplier, and answers with the link to open it. Each one is only a draft: an invoice gets no number, moves no stock and is not booked until a person finalizes it, and an order takes its number but is not sent. The draft's History shows who asked for it and "via assistant", and nobody can create through the assistant what their role does not allow on screen. Nothing can be finalized, sent, received, paid or deleted through the assistant.

Ask an assistant to turn receipts into an expense claim

The assistant creates a draft expense claim from receipts the user shows or describes, one row per receipt with its date, place, what it was for, expense category, amounts and VAT, for the user or a named team member or other person. It looks up the company's expense categories and the VAT choices a receipt can have on its date first, and the form's checks apply; one wrong receipt means no claim, with the reason. A receipt with the same date, place and total already on that person's claims gives a warning naming that claim. The receipt's photo or PDF is attached on the claim page in Erpilo, and the claim is booked and paid back there; the assistant only makes drafts.

Add and change records

Ask an assistant to add customers and suppliers

The assistant adds customers and suppliers to the company, one or a list of up to 50 at a time, each a real, active partner checked as the Partners page's Add form checks it. A partner the company already has, by registry code, VAT number or name, is not added twice, and the answer names the one already there. One wrong row does not stop the others: the answer says what was added, with a link to each, and what was not and why. Anyone whose role may add partners on screen may add them through the assistant; deleting and archiving partners stays in Erpilo.

Ask an assistant to change customers and suppliers

The assistant changes existing customers and suppliers, one or a list of up to 50 at a time, named by id or exact name, with the Edit form's checks. Only the fields it names change, nothing is emptied, and a change that would give a partner another partner's registry code, VAT number or name is refused, naming that partner. The answer says what changed from what to what, with a link to each partner. A supplier's bank account can never be changed through the assistant, because a forged "our bank details have changed" message is a common fraud; it is changed on the Edit page.

Ask an assistant to add products

The assistant adds products, one or a list of up to 50 at a time, through Erpilo's own product import and its checks: code, names and descriptions in the product languages, price, VAT, unit, barcode, weight, brand, categories, tags and product group, and the cost for owners and admins. New products start as Draft and are on no web shop until somebody adds them to one; a code or barcode already in use is refused. Categories, tags, brands, product groups and VAT rates must already exist, so a typo is refused rather than creating a new one; stock, pictures and variants are not added this way. Each request is listed among the company's product imports.

Ask an assistant to change products

The assistant changes existing products and single variants by code, one or a list of up to 50 at a time, with the product import's checks. Only the fields it names change, stock is never touched, and the answer says what changed from what to what, with a link to each product. A product's type, and a cost that follows the stock, cannot be changed this way; only owners and admins can change a cost. A product on a web shop gets the change with the next sync somebody starts in Erpilo.
