Invoices your customers can pay - and that move your stock.

Build an invoice in a couple of minutes, in any of ten languages. Erpilo numbers it, sends it as PDF and e-invoice XML, posts it to the ledger and keeps an eye on the payment.

Sending

E-invoice and email, in one go

Email the invoice straight from Erpilo with the PDF, the e-invoice XML or both attached, in the language you choose. The invoice then shows who sent it and when - or that it has not reached the customer yet.

  • Credit notes reference the original invoice in the XML
  • Payment details show your default bank account
  • Your logo on the PDF and in the email
  • Recurring invoices: a new one on each date, as a draft or sent straight away

Customers

From the Business Register - or a private person

Type a company name or registry code and Erpilo fills in the name, code and address, split into its parts. Selling to a person instead? Switch to private person and add their personal ID code.

  • Works in the invoice builder and when adding a partner
  • Nothing about you is sent along with the search
  • The register does not publish VAT numbers (KMKR), so you add that one yourself

Getting paid

Part payments, credit notes and a full history

Record a payment by bank transfer, card, cash or PayPal and the status moves on by itself. Issue a credit note, with or without returning the goods to stock. Every step lands on the invoice's history card.

  • Each payment posts its own journal entry
  • Cancelling an unpaid invoice reverses its entry correctly
  • A late fee per day is printed on the invoice
  • Invoice in the customer's own currency - the exchange difference is booked when they pay

Following up

Reminders and statements do the chasing

Turn on automatic reminders and pick the days. Each one goes out in the invoice's language with the invoice PDF attached. Need the whole picture? Send a customer statement listing every open invoice and its age.

  • Or send a single reminder by hand, from the invoice
  • Reminders in all ten invoice languages
  • A filter for overdue invoices nobody has reminded yet

Good to know

What invoicing does not do yet

  • No operator connection. The XML travels by email or you upload it yourself - there is no direct link to Telema, Fitek or Omniva.
  • No quotes or orders yet.
  • Books in euros only. You can invoice in another currency, but the company's own currency is always euro for now.
  • Late fees are printed, not charged. Erpilo does not calculate interest.
  • Reminder wording is fixed. The text is built in and cannot be changed yet.

Does Erpilo create Estonian e-invoices?

Yes. Every invoice can be downloaded or emailed as an Estonian e-invoice XML file (eXML 1.2, EVS 923:2014), with the PDF if you like. There is no direct link to e-invoice operators (Telema, Fitek, Omniva) - the XML travels by email or you upload it yourself.

Which languages can I invoice in?

Ten, whatever language you use the app in. Product names go on the invoice in the customer's language, and reminders are sent in the invoice language.

Does Erpilo send payment reminders?

Yes. Switch on automatic reminders and choose when they go out - each reminder is sent in the invoice language with the invoice PDF. You can also send a single reminder by hand from the invoice. Automatic reminders are part of the Start and Growth plans.
