🔎 Stock movements: see why every number is what it is

Every change to your stock is recorded - what caused it, why, when and by whom - and you can now read all of it on one page. When a product says 7 and you expected 9, you can find out what happened.

A stock number you cannot explain is a number you stop trusting. Erpilo now shows you the full history behind every quantity, so "why does this say 7?" has an answer.

Every change is recorded

Whenever stock goes up or down, in any warehouse, Erpilo writes down:

  • when it happened,
  • which product and which warehouse,
  • how much it changed and what it left on the shelf,
  • what caused it - an invoice, a cancelled invoice, a stock count, an import,
  • why, if a person did it - the reason chosen on the stock count (Counted, Damaged, Lost, Found, Returned, Opening balance, Other) and any note they added,
  • who did it.

These are the things that move stock:

What you do What the history shows
Finalize an invoice Invoice, stock going down, with the invoice number
Finalize a credit note Invoice, stock coming back, with the credit note number
Cancel an invoice Invoice cancelled, the units returned to the warehouse they left from
An order from your connected shop Invoice, like any other sale
Save a stock count, or change stock on a product's Stock tab Manual adjustment, with the reason and note
Enter opening stock on a new product Manual adjustment
Import products from a CSV file with stock in it CSV import, with a link to the import
Stock that was already there when warehouses were introduced Starting balance

History cannot be changed or deleted - by anyone. If a number was wrong, the fix is a new stock count, which shows up as its own line. The old line stays, so you can always see what happened and in what order.

Where to see it

Inventory â–¸ Stock movements lists every change, newest first. The number after the subtitle tells you how many there are.

You can also jump straight to one product's history:

  • On a product's Stock tab, click Stock history.
  • On Inventory â–¸ Stock on hand, click History on any row.

Both open the list already showing just that product - for a product with variants, all of its variants - in every warehouse.

Finding what you are looking for

  • Search by product name or SKU. Press Enter or the green search button.
  • Warehouse - pick one; it applies straight away.
  • Cause - tick one or several (say, Invoice and Invoice cancelled), then Apply.
  • Period - choose a from and a to date.

Each filter you use turns green and shows its value, with an × to remove it. Clear filters removes them all at once.

Click Date, Product or Warehouse at the top of the table to sort by it; click again to reverse.

Make the table yours

Columns, at the right of the filters, lets you hide what you do not need - Warehouse, After, Cause, Reason or By. Date, Product and Change always stay. Erpilo remembers your choice on that computer; Restore default columns brings everything back.

On a narrow screen or a phone, the table scrolls sideways. The product name stays pinned at the left edge so you always know which row you are reading, and on a computer a thin scrollbar stays at the bottom of the window, so you never have to scroll to the end of the list to move sideways.

Good to know

  • Anyone in your company can see the history. Changing stock still happens on the stock count and the product's Stock tab, as before.
  • One warehouse? You will see no warehouse column or filter - just as on the other stock pages.
  • A warehouse you have switched off still appears in the history and the Warehouse filter, so its past movements stay readable.
  • The invoice number and the import file are links - click them to open what caused the change.
  • Changes from before stock history began (August 2026) are not in the list, because they were never recorded.
