📨 An invoice now says whether the customer has it

Finalizing an invoice used to label it Sent, whether or not anyone had sent it. The status now reads Finalized, and a separate line on the invoice says whether it has been emailed, delivered another way, or not sent to the customer yet.

Until now, one word did two jobs. Finalizing a draft gave it its official number, moved stock and locked it - and labelled it Sent, although nothing had been sent to anyone. So you could not see which of your invoices the customer had actually received.

What changed

  • The green button on a draft is called Finalize. It does what it always did: assigns the number, records the stock movement and the accounting entry, and locks the invoice. It does not email anyone.
  • The status after finalizing is Finalized, not Sent. Paid, Partially paid, Cancelled and the Overdue mark are unchanged.
  • A new line under the status says whether the customer has the invoice:
    • Emailed to ... on ... - recorded automatically when you email the invoice from Erpilo.
    • Marked as sent by ... on ... - when you delivered it another way (through your e-invoice operator, your own mailbox, or on paper) and pressed Mark as sent. There is an Undo if you pressed it by mistake.
    • Not sent to the customer yet, in amber, with Email it and Mark as sent beside it.
  • The invoice list shows a small amber "Not sent" tag on finalized invoices nobody has sent, so an invoice the customer never received no longer looks like one they are ignoring.
  • The dashboard tile called Sent is now Awaiting payment, which is what it has always counted.

Your existing invoices

Invoices you emailed from Erpilo after finalizing are shown as emailed. For the rest, Erpilo cannot know how they were delivered, so it makes no claim either way - they show no delivery line and no tag. You can mark any of them as sent.

Worth knowing

  • The customer's PDF no longer prints a status line while the invoice is open. "Finalized" is an internal word that told them nothing. Paid and Cancelled still print.
  • Emailing a draft preview does not count as sending - a preview is not the official invoice.
  • Emailing a copy of an already-sent invoice leaves the original delivery date as it was; the History card lists every email.
